It is a matter of course for us to respect your personal rights. This also applies to the handling of personal data when you visit and use this website. We therefore act in accordance with the applicable data protection law. In the following you will find out how we handle your personal data and in particular which data we process for which purposes and what rights you are entitled to.
1 – Scope
1.1 – This data protection declaration applies to the use of the websites offered by cyperfection gmbh, which you can access at www.cyperfection.de (hereinafter referred to as “cyperfection websites”). This data protection declaration does not apply to other cyperfection gmbh websites or to the websites of other service providers to which the cyperfection websites refer via a link.

2 – Personal data
Personal data is all information that relates to an identified or identifiable natural person. The basic personal date is your name. In addition, your gender, your date of birth, your address, your profession, your e-mail address and IP address are also considered personal data. On the other hand, data with which it is impossible to determine your actual identity or at least requires considerable effort is not personal. This includes, for example, the aforementioned information if we receive it anonymously or under a pseudonym and therefore cannot assign it to a natural person.
3 – Principle of anonymity
When using the cyperfection websites, you remain anonymous for us as long as you do not voluntarily provide us with personal data by applying to us using our online application form.
4 – Provision of personal data
4.1 – The provision of personal data is neither legally nor contractually required for the use of the cyperfection websites and is also not required for the conclusion of a contract. You are not obliged to provide personal data about yourself. However, you cannot visit the cyperfection websites without transferring the IP address you are using.
4.2 – Contacting us via the online application require the provision or collection of the data described in more detail in Sections 6 and 7. If you do not provide us with this data, you will not be able to use the option to apply online.
5 – Processing of personal data
5.1 – We automatically collect and record the following data each time you visit the cyperfection websites:
- Country of origin
- Requesting domain
- Used web browser
- Operating system used
- Notification of successful and unsuccessful retrieval
- Entry and exit pages
- Amount of data transferred
- Date and time of the request
- Name of the requested file
- IP address of the requesting computer
This data is stored in log files on our web server as standard. The storage period for the IP address is one week, after which it is automatically deleted.
5.2 – Otherwise, we only process your personal data if you voluntarily provide it to us and if this is permitted by law or if you have given your consent. We use the personal data provided by you exclusively for the purposes stated in this data protection declaration or expressly agreed with you.
5.3 – We commission various service providers to support us in the provision, operation and maintenance of our IT systems, including the cyperfection websites. These include, for example, hardware and software suppliers, Google Inc. (for the web analysis service Google Analytics, see section 12), hosting providers or data centers. If such service providers work for us on our behalf, they may, as recipients, have access to your personal data. However, these service providers are then also contractually obliged to comply with data protection via a so-called order processing agreement; the statutory provisions on data protection also apply to our service providers anyway.
5.4 – Your personal data will not be passed on, sold or otherwise transferred to third parties. Something else only applies if this is necessary for the processing of the notified or agreed purposes and is permitted without consent under applicable data protection law, you have expressly consented or we are legally obliged to do so. Item 5.3 remains unaffected, of course, and applies regardless of this Item 5.4.
5.5 – The personal data provided by you on the cyperfection websites or collected by us will not be used for automated decision-making.
6 – Contact and communication by e-mail
6.1 – If you contact us via e-mail, you agree that your message with the contact details you have provided may be processed by us for the purpose of answering and contacting you. Your consent and our legitimate interest in being able to contact users of the cyperfection websites electronically form the legal basis for processing (Art. 6 Paragraph 1 lit. a and f GDPR).
6.2 – We will only process the data you provide via email in order to process your communication and respond to you. As long as we have received your contact details, which you submit to us via email only for processing, contacting and answering your message, we will not use this personal data for any other purpose. Apart from cases in which we are legally obliged to do so, we will not pass on your contact details to third parties in this case.
6.3 – Six (6) months after sending the answer, we will delete the data you submitted via e-mail, unless we are legally obliged to store it for a longer period or we still need your personal data to carry out or process an existing contractual relationship. In such a case, we will delete the relevant data after the statutory retention period has expired or as soon as we no longer need the data to carry out or process an existing contractual relationship.
6.4 – You can revoke your consent at any time for the future (see section 20 below for contact details). After the revocation, your contact details will be stored for as long as we are obliged to do so within the framework of the statutory retention requirements or we still need your personal data to carry out or process an existing contractual relationship.
7 – Online application
7.1 – If you contact us via the online application, you accept that your contact and application data, including any application documents you may have sent (e.g. cover letter, CV, certificates), is processed in order to handle your application and get in touch with you. Your consent and our legitimate interest in receiving applications and contacting applicants form the legal basis for processing (Art. 6 Para. 1 lit. a and f GDPR).
7.2 – For the purpose of establishing contact via the online application, you have given the following declaration of consent: “I hereby give my consent that my contact details entered below and the application documents I have sent may be processed by cyperfection gmbh for the purpose of processing my application, establishing contact and answering. In this context I agree to the data protection declaration. I can revoke this consent at any time with effect for the future”.
7.3 – We will only process the contact and application data submitted by you via the online application in order to process your application and to respond to you. As long as we have received your contact and application data, which you provide to us via the online application, only for processing, contacting and answering your application, we will not use this personal data for any other purposes. Apart from cases in which we are legally obliged to do so, we will not pass on your contact and application data to third parties in this case.
7.4 – If your application is successful and you enter into an employment relationship with us, we will transfer the contact and application data you submitted via the online application to our personnel management and your personnel file. In the event of a rejection, we will delete your contact and application data three (3) months after the rejection has been sent to you, unless we are legally obliged to store it for a longer period of time, you consent to longer storage (we ask you for this consent then separately) or we still need your contact and application data to carry out or process an existing contractual relationship. In such a case, we delete the data in question after the statutory retention period has expired or the period agreed with you in the context of the consent or as soon as we no longer need the data to carry out or process an existing contractual relationship.
7.5 – As long as your application does not result in an employment relationship with us, you can revoke your consent at any time for the future (for contact details see section 20 below). Your contact and application data will be stored after the revocation for as long as we are obliged to do so within the framework of the statutory retention requirements or we still need your personal data to carry out or process an existing contractual relationship.
8 – Withdrawal of consent
8.1 – Within the framework of the statutory provisions, you have the option at any time to revoke your consent to the processing of your personal data for the future. To do this, please contact the office mentioned in section 20 below.
8.2 – We would like to point out that the processing of your personal data that we have carried out on the basis of your consent up to your revocation will not be affected by the revocation and will remain lawful.
9 – Right to information, correction, deletion, restriction of processing, objection and data portability
Within the framework of the statutory provisions, you have the right to receive information from us about your personal data processed by us, as well as the right to correction, deletion, restriction of processing, objection to processing and data portability. The precise conditions under which you are entitled to the aforementioned rights can be found in Art. 15 to 21 GDPR and Sections 34, 35 and 37 of the Federal Data Protection Act (BDSG). If you want to exercise one or more of the above-mentioned rights, please also get in touch with the contact person specified in section 20.
10 – Right to complain
Within the framework of the statutory provisions, you have the right to contact the responsible supervisory authority with a complaint regarding data protection. Responsible for us is the state commissioner for data protection and freedom of information for Rhineland-Palatinate, whom you can reach together with the supervisory authority via the website https://www.datenschutz.rlp.de.
11 – Use of cookies
11.1 – We use so-called cookies on the cyperfection websites. These are small text files that are saved on your device (PC, smartphone, tablet, etc.). Some of the cookies we use are deleted from your drive (hard drive, solid-state disk, flash memory, etc.) at the end of the browser session (so-called session cookies). Other cookies remain on your device and enable us to recognize your device on your next visit (so-called permanent cookies). We also use cookies from third-party providers that allow them to process your personal data and possibly merge the information obtained with other data that these third-party providers have already stored about you or have collected from you during your use of the third-party services.

From there, further cookies may be stored on your device. These cookies are beyond our control. The respective provider is solely responsible for the data protection-compliant behavior of such cookies.
11.3 – The legal basis for our use of cookies is our legitimate interest in designing the cyperfection websites as required and in being able to optimize the websites (Art. 6 Para. 1 lit. f GDPR).
11.4 – In the security settings of your browser, you can view and delete the stored cookies at any time and restrict or prohibit the acceptance of cookies.
11.5 – When using third-party services on the cyperfection websites (e.g.) or when you click on a link, third-party cookies may be used without our express warning. 12 – Use of Google Analytics
12.1 – As described in more detail below in sections 12.2 ff., we use the online service Google Analytics from the US company Google Inc. on the cyperfection websites. Google Analytics analyzes the data traffic on the cyperfection websites and collects various data about you and for this purpose your user behavior on the cyperfection websites (e.g. which web browser you surf with, where you are from, which language setting you use, which search engines you use, date and time of your visit to the cyperfection websites, how long you stay on which page). Your IP address is only collected anonymously; for details, see Sections 12.3 and 12.6. Our use of Google Analytics is for the purpose of tracking user behavior on the cyperfection websites and thus better understanding them so that we can optimize our website and provide users with a better offer. The legal basis for our use of Google Analytics is our legitimate interest in using our website on the cyperfection websites for marketing purposes and optimizing it as required (Art. 6 Para. 1 lit. a GDPR). The user data collected with Google Analytics is stored by Google for a period of 14 months and then deleted.
12.2 – The cyperfection websites use functions of the web analysis service Google Analytics. The provider is Google Inc. 1600 Amphitheater Parkway Mountain View, CA 94043, USA. Google Analytics uses so-called “cookies”. These are text files which are saved on your computer and which enable an analysis of the use of the cyperfection websites by you (see also section 11). The information generated by the cookie about your use of this cyperfection website is usually transferred to a Google server in the USA and stored there.
12.3 – If IP anonymization is activated, as it is the case on the cyperfection websites (see also section 12.6), your IP address will be truncated by Google within member states of the European Union or in other contracting states of the Agreement on the European Economic Area. The full IP address will only be transmitted to a Google server in the USA and truncated there in exceptional cases. On behalf of the operator of these cyperfection websites, Google will use this information to evaluate your use of the cyperfection websites, to compile reports on website activity and to provide the website operator with other services relating to website activity and internet usage. The IP address transmitted by your browser as part of Google Analytics will not be merged with other Google data.
12.4 – You can prevent the storage of cookies by setting your browser software accordingly; however, we would like to point out that in this case you may not be able to use all the functions of this cyperfection website to their full extent. 12.5 – You can also prevent the collection of data by Google Analytics that you create on the cyperfection websites and that are stored in the cookie by activating the link below. An opt-out cookie is stored on your computer, which prevents the future collection of your data when you visit the cyperfection websites (this does not, however, apply to other websites that you visit and other browsers that you use on the same computer): Deactivate Google Analytics. 12.6 – Google Analytics has been expanded to include the code “anonymizeIP” on the cyperfection websites. The use of this code leads to an anonymous collection of your IP address through so-called IP masking. This will set the last octet of your IP address to zero. For IPv6 addresses, this affects the last 80 of the 128 bits. This still happens in the main memory before the data is written to the hard drive (see also https://support.google.com/analytics/answer/2763052).

13 – Use of Hotjar Heatmaps & Recordings
13.1 – On the cyperfection websites we use the web analytics service Hotjar. The provider is Hotjar Ltd, Levl 2, St Julians Business Centre 3, Elia, Zammit Street, St Julians STJ 1000, Malta, Europe. Hotjar analyzes the traffic on the cyperfection websites and collects various data about you and your use of the cyperfection websites (e.g. which web browser you use, where you come from (country), which language setting you use, date and time of your visit to the cyperfection websites, how long you stay on which page, how you move and interact on the cyperfection websites, device type (UDID, anonymized)). Your IP address is only stored in anonymized form and your usage data is not linked to your full IP address; for details see section 13.4 Our use of Hotjar is for the purpose of tracking user behavior on the cyperfection websites and thus better understanding it, so that we can optimize our website and provide users with a better experience. The legal basis for our use of Hotjar is our legitimate interest in using our web presence on the cyperfection websites for marketing purposes and to optimize it according to needs (Art. 6 para. 1 lit. a GDPR). The user data collected with Hotjar is stored by Hotjar for a period of one year and will be deleted thereafter.
13.2 – Hotjar uses so-called "cookies". These are text files that are stored on your computer and enable an analysis of your use of the cyperfection websites (see also section 11). The information generated by the cookie about your use of the cyperfection websites will be transmitted to and stored by Hotjar on servers in Ireland.
13.3 – You may refuse the use of cookies by selecting the appropriate settings on your browser, however please note that if you do this you may not be able to use the full functionality of this cyperfection website. 13.4 – Your IP address is stored by Hotjar only in anonymized form through the so-called IP-mapping. The last octet of your IP address is thereby set to zero. This happens in memory before the data is written to disk.

14 – LinkedIn Insight Tag
We use the conversion tracking “LinkedIn Insight Tag” of LinkedIn Ireland Unlimited Company on the cyperfection websites. For this purpose, the LinkedIn Insight Tag is integrated on the cyperfection websites and a cookie is set on your end device by LinkedIn. The following data is collected: IP address, device and browser properties, timestamp and page events such as page views. This data is encrypted and anonymised within seven days. This anonymised data is deleted within 90 days. LinkedIn does not share any personal data with cyperfection, but provides anonymised reports on website audience and ad performance. This enables us to statistically evaluate the use of our website in order to continuously optimise it as well as the display of our advertising. The legal basis for our use of LinkedIn Insight Tag is our legitimate interest in using our web presence on the cyperfection websites for marketing purposes and optimising it according to needs (Art. 6 para. 1 lit. c GDPR).

15 – Use of social media buttons
We display social media buttons from the following social networks on the cyperfection websites:
- Facebook, facebook.com
- LinkedIn, linkedin.com
- XING, xing.com
- Instagram, instagram.com
On the one hand, these are links to our company presence in the corresponding social network. These links do not contain any further functions (differently than e.g. the Like-Button of Facebook). If you click on such a social media button on the cyperfection websites, only the corresponding linked website opens.
On the other hand, we use so-called share buttons on the cyperfection websites, which enable you to share the opened website in the corresponding social network. A connection to Facebook & Co is only established when you click on one of these buttons.
16 – Use of Podigee Podcast-Hosting
On the cyperfection websites we use the Podcast-Hosting-Service Podigee. Provider is Podigee GmbH, Schlesische Straße 20, 10997 Berlin, Germany. In order to be able to play podcasts from Podigee servers, we have integrated a podcast player on our websites. The podcasts are loaded by Podigee or transmitted via Podigee.
When you play a podcast, Podigee processes IP addresses and device information to enable podcast downloads/playbacks and to determine statistical data, such as counts of listens. This data is anonymised or pseudonymised before being stored in Podigee's database unless it is necessary for the provision of the podcasts. The data is deleted as soon as it is no longer required for the processing purposes.
The use is based on our legitimate interests in the efficient provision, analysis and optimisation of our podcast service pursuant to Art. 6 para. 1 lit. f. GDPR.

17 – Chatbot (Landbot.io)
On the cyperfection websites we use the chatbot from Landbot.io. The provider is HELLO UMI S.L. Barcelona, Carrer de París, 82, Bajo 1, Derecha, CP 08029. Landbot.io is an intuitive chatbot builder that we use to improve the user experience through personalised conversation.
In the course of use, the IP address and device information are transmitted to the provider for technical reasons in order to be able to provide the service. Please note that data entered in the chatbot (name, business email, etc.) is stored in the chat log for 6 months. The data is processed on servers within the EU.
The collected data can also be used to improve our chatbot and the response behaviour. In addition, certain inputs are transmitted to OpenAI with your content. Therefore, please refrain from providing personal / personal data.
The legal basis for the use of the chatbot is Art. 6 (1) lit. b GDPR if the chatbot is used to initiate a contract. In all other cases, the use is based on our legitimate interest in the most effective customer communication possible (Art. 6 para. 1 lit. f GDPR).
You can revoke your consent to data storage for the future at any time (for contact details, see section 20). After revocation, your contact data will be stored for as long as and to the extent that we are obliged to do so within the scope of statutory retention obligations or we still need your personal data for the implementation or processing of an existing contractual relationship.

18 – Cookieman
On the cyperfection websites we use Cookieman cookie, which sets a technically necessary cookie (CookieConsent) to save your cookie consent.
Cookieman does not process any personal data. The cookie (CookieConsent) stores the consent you gave when you entered the website. If you would like to revoke this consent, simply delete the cookie in your browser. When you re-enter / reload the website, you will be asked again for your cookie consent.
19 – IT security
We take various technical and organizational security measures to protect the integrity and confidentiality of your personal data. For this purpose, your personal data is encrypted during transmission using the so-called Secure Socket Layer technology (SSL). This means that communication between your computer and the servers of the cyperfection websites takes place using a recognized encryption method, which is considered secure in the current version (currently TLS version 1.3). If your browser supports SSL, the transmission of personal data is protected by this function. In this case, most browsers will show you with a short dialog box or a graphic symbol whether the security protocol is supported.
